UCEAP Application
Official UCR Transcript

Your electronic “official” transcript is a document that will be emailed to you.

You may use the electronic “official” transcript from RWeb if your program does not require an official transcript be sent directly to the host institution.

HOW TO ORDER
ELECTRONIC OFFICIAL TRANSCRIPT

If your application deadline is in the Winter, your transcripts must have Fall grades.

If your application deadline is in the Spring, your transcripts must have Winter grades.
Log into your RWeb

Click on Transcripts & Verifications

Click on Request Official Transcripts

Click on Send To Yourself

Click on eTranscript

Enter your Details and Continue

Review Order and Checkout

Click Next to Confirm Consent

Click Confirm to place order

You will receive your electronic “official” transcript in an email to upload to
MyUCR Abroad. Upload to UCEAP Portal, if required.
You do not need to pay for the electronic "official" transcript!

You need to request your transcripts with your 
LEGAL NAME!
Other Official Non-UCR Transcript

If you are a transfer student you will need to upload all unofficial transcripts from your previous school/s.

Double check the UCEAP application checklist to see if UCEAP requires an official transcript.

Upload other official transcript to
MyUCR Abroad. Upload to UCEAP Portal, if required.
 Passport Copy

Passport copy must include the photo and signature page.

As pictured!

Non-U.S.
Passports must show equivalent details.

Make sure the passport is signed and all details are showing in the copy.

If you do not have a passport or it's expired, or going to expire, order your passport immediately!

Passports must not expire within in six months of the program's end date.

Letter of Recommendation

If your program requires an Electronic Letter, you will see the following on MyUCR Abroad.

The Recommender will receive an email to complete your letter electronically on MyUCR Abroad.

The system will prompt you to enter the name and email of the Recommender.
Hard Copy Letter

The recommendation will need to be completed within 1 month from the application deadline date.

If your program requires a Hard Copy Letter, you will see the following on MyUCR Abroad.

The recommendation section will provide a list of programs by country.

You will need to send this information to your Recommender.

You will need to read this section for the specific details of how and where your letter needs to be submitted.

If your letter is required to be sent directly to a contact other than UCR EA office, you will see information in red of what needs to be uploaded in MyUCR Abroad to show you have completed this task.

This section will also provide details on how many letters are  required.

The recommendation will need to be completed within 1 month from the application deadline date.

Letters are required to be completed by a professor, lecturer or a TA.

If a TA completes your letter, it will need to be signed by their supervising professor.

Only University Honors students can have an Honors Advisor complete your letter.

No Letter

If you do not see Letter of Recommendation on your MyUCR Abroad application, then your program does not require one.

Department Pre-Approval

Double check UCEAP application checklist to see if the Department Pre-Approval (DPA) is listed for your program.

If the DPA is listed on the UCEAP application checklist, this means you can extend your program to the next term.

If applying for a Year-long or a Year (off-cycle) program and there is a Fall or Spring term option that list the DPA,

If you choose a Year-long or Year (off-cycle) option and withdraw from the second term, you are charged a penalty fee.

The DPA provides you with an option to extend or not extend while avoiding additional financial penalty.
If you choose NOT to extend, you are not required to complete the DPA.
If you choose to extend, you are required to complete the DPA.

You will list the courses you would like to take in the extended term and obtain approval from your Academic Advisor and the Dean of your college or school.

we recommend you apply for the Fall or Spring term and complete the DPA.

Supplemental Documents

Because there are several UCEAP programs with various documentation requirements, Supplemental Documents is our catch all category.

On the UCEAP application checklist any documentation that we have not specifically listed on our check list is considered a Supplemental Document.

Supplemental Documents can be any of the following items:
* Language Evaluation

* Address Form

*Host Univ. Application

*Course Preference Form

*Housing Preference 
  Form

*CV or Resume

* Personal Statement

Required by UCR

Statement of Purpose

The Statement of Purpose is your written statement about why you want to participate on the program you've selected.

You will be provided essay prompts on MyUCR Abroad to write your Statement.

Be sure to include your name, SID, and program information on the top left-hand corner of your document. For example, Jane Smith, 862000000, UCEAP Yonsei University, Fall 2021. You may type up to 3 pages, single or double-spaced.
If you are applying to a program in Australia, Ireland, New Zealand, or the United Kingdom DO NOT write the name of the school you want to attend in your essay.

Academic Planning Form
Academic Planning Form is required for credit approval of the courses you take abroad.

After you complete the form, setup an appointment with your Academic Advisor to discuss the classes you intend on taking.

If you are a double major or have a minor you may need to meet with the Academic Advisor for the double major or minor if you want to fulfill requirements in that area.

If you are Pre-Business wanting to fulfill Business requirements you will also need to meet with an Academic Advisor in the School of Business to receive credit approval.

Make sure to share the course descriptions or syllabi, if available, with your Academic Advisor of the courses you intend to take abroad.

Depending on your College or School, you may be required to have the Dean sign your form.

Download the Academic Planning Form on MyUCR Abroad. Make sure to download the form based on your college or school.

UCEAP Application

Go to https://uceap.universityofcalifornia.edu/
We are going to cover specific information on the Academic Information tab.

Under the Coursework section, enter  the projected UCR courses you plan to take at UCR prior to your UCEAP program.

If your application is due in the Winter quarter and you are applying for a Summer program, you will list your UCR Winter courses and what you intend to take at UCR in the Spring quarter.

If your application is due in the Winter quarter and you are applying for a Fall or Year program, you will list your UCR Winter courses and what you intend take at UCR in the Spring quarter. List Summer courses if you are doing Summer Session.

If your application is due in the Spring quarter and you are applying for a Winter or Spring Semester program, you will list your UCR Spring courses and what you intend take at UCR in the Fall. List Summer courses if you are doing Summer Session.
If your application is due in the Spring quarter and you are applying for a Spring quarter program, you will list your UCR Spring courses and what you intend take at UCR in the Fall and Winter quarter.  List Summer courses if you are doing Summer Session.

Under the "Total Overall Units" you will enter your UC cumulative earned hours from your UCR transcript.

Under "List any Units that have not been added to your transcript", enter any missing units from your UCR transcript.

If applying in the Winter or Spring quarter, DO NOT list units from the Winter or Spring courses here.

Current and Projected In-progress Units will automatically populate from the Coursework section.

The Total Units will be auto-calculated and will determine your class level.

Enter the following for your class level: 0-34 = Freshman, 35-89 = Sophomore, 90-134 = Junior and 135+ = Senior.

If you are a graduate student, you will choose the appropriate class level.

You will sign up and complete your application in the UCEAP Portal

How to find courses for APF?

Go to the UCEAP website and find your program

Click on Academics

Click on UCEAP Course Catalog

The UCEAP Course Catalog contains a list of courses UC students have taken from the past 10 years.

Enter your program information and click Search

If a course listing appears, review the courses to see if any of them fulfill your UCR academic requirements.

Click on the "Transcript Title" link to review the course description.

If the course fulfills an academic requirement, share the course description with your Academic Advisor.

The UCEAP Course Catalog may NOT contain all available course options.

Return to the UCEAP program page. If the program is at a university, a link to the university's course catalog will be provided.

Click on the university link to review their course catalog.

Be advised that foreign universities may not use the same major terminology.

For example, a Business major will not see Business listed on the King's College catalog.

You would need to review majors that are closely related to your academic field.

For example, a Business major may review courses under Economics, Entrepreneurship, Finance, Management, Marketing, etc.

Example: A Business major chooses Finance to review the courses.

Example: Click on the course link to see the course information.

Check with your Academic Advisor if the course fulfills an academic requirement by sharing with them course descriptions.
Some UCEAP programs may NOT be at a university, and course offerings may be listed differently.

The course listing will be listed under Courses & Credit section

The courses listed are the ONLY courses being offered from the program you selected.

If the course fulfills an academic requirement, share the course description with your Academic Advisor.
Final Application Tips

Both the MyUCR Abroad and UCEAP Application is due at 11:59pm on the deadline date.

Late Applications will NOT be accepted!!!

You can submit these items after the deadline, if needed:

- Signed Passport Copy

- Academic Planning Form
- Letter of Recommendation
Due as soon as you receive it.

Due within 1 month from the application deadline date.
* You are required to complete the assessment to receive
   credit for this workshop.
